Matrixon AI Technologies ("us", "we", or "our") operates this website (the "Service"). This Privacy Policy explains what personal data we collect, how we use it, who we share it with, how long we keep it, and the rights you have. We are committed to handling your information transparently and in line with applicable privacy laws, including the EU General Data Protection Regulation (GDPR), the UK GDPR, and the California Consumer Privacy Act (CCPA/CPRA).

Personal Data You Provide

When you fill out a form, request a consultation, subscribe to our newsletter, or contact us, we collect the information you submit. This may include your first and last name, email address, phone number, company name, job title, country, and details about your inquiry or project.

Usage Data Collected Automatically

When you visit the Service we may automatically collect certain technical information, including your IP address (truncated where applicable), browser type and version, operating system, device type, referring URL, the pages you visit, the time and date of your visit, time spent on pages, and similar diagnostic data. This is collected through cookies and similar technologies described in Section 4.

2. How We Use Your Information

We process your information for the following purposes:

  • To provide and operate the Service — including responding to your inquiries, scheduling consultations, and delivering services you request.

We classify cookies into the following categories, in line with the standard categorisation used by our consent management platform:

  • Necessary cookies are required for the Service to function and cannot be disabled. These include cookies that record your consent choices.
  • Preference cookies remember non-essential choices, such as language or region.
  • Statistics cookies help us understand how visitors interact with the Service by collecting and reporting information anonymously.
  • Marketing cookies are used to track visitors across websites to display relevant advertising. We currently do not use marketing cookies, but this category is shown in the consent banner so you can pre-emptively opt out if any are added in future.

Consent and Google Consent Mode

When you first visit the Service, our consent banner asks you to accept or reject non-essential cookies. We use Google Consent Mode v2, which means that even if you decline analytics cookies, anonymised aggregate signals (with no cookies, IP address, or persistent identifier) may still be sent to Google to help us understand overall site trends in a privacy-preserving way. 5. Third-Party Services and Processors

We engage the following third-party service providers to operate the Service. Each is bound by data processing terms that limit their use of your information to the purposes we specify.

  • Cookiebot (Usercentrics A/S) — consent management platform that records and stores your cookie consent choices. Cookiebot privacy policy.
  • Google Analytics 4 and Google Tag Manager (Google LLC / Google Ireland Ltd.) — web analytics and tag management. We have enabled IP redaction and Google Consent Mode v2 to limit data exposure when consent is denied. Google privacy policy.

  • Google Workspace and Google Apps Script — used to receive and store form submissions you send us through the Service. Google privacy policy.
  • Salesforce, Inc. — used to power our embedded chat widget when you initiate a conversation with us. Salesforce privacy policy.

6. International Data Transfers

Some of our service providers (including Google and Salesforce) are headquartered in the United States and may process your data outside your country of residence. Where required, these transfers are protected by appropriate safeguards such as the EU–U.S. Data Privacy Framework, Standard Contractual Clauses approved by the European Commission, or equivalent mechanisms.

7. Data Retention

We retain personal data only for as long as necessary to fulfill the purposes described in this policy, unless a longer retention period is required by law. Specifically:

  • Inquiry and form submissions — retained for up to 24 months from your last interaction, after which they are deleted unless an active engagement requires longer retention.
  • Marketing email subscriptions — retained until you unsubscribe, after which a minimal suppression record is kept to honour your opt-out.
  • Analytics data — Google Analytics is configured with a user-level data retention period of 14 months. Aggregated reports may be retained longer.
  • Consent records — retained for up to 12 months in line with our consent management platform's defaults, after which you will be re-prompted.

8. Your Privacy Rights

Subject to applicable law, you have the following rights in relation to your personal data:

  • Access — request a copy of the personal data we hold about you.
  • Rectification — request that we correct inaccurate or incomplete information.
  • Erasure ("right to be forgotten") — request that we delete your personal data, subject to legal exceptions.
  • Restriction — request that we limit how we use your data.
  • Portability — receive your data in a structured, commonly used, machine-readable format.
  • Objection — object to processing based on our legitimate interests, including profiling.
  • Withdraw consent — withdraw consent at any time, without affecting the lawfulness of processing carried out before withdrawal.
  • Lodge a complaint — with a supervisory authority, particularly in the EU/UK Member State where you live or work.

California residents (CCPA/CPRA) have additional rights, including the right to know what categories of personal information we collect and disclose, the right to delete personal information, the right to correct inaccurate personal information, and the right to opt out of the "sale" or "sharing" of personal information. We do not sell or share personal information as those terms are defined under the CCPA/CPRA.

9. Children's Privacy

The Service is not directed to children under 16, and we do not knowingly collect personal data from children under 16. If you believe a child has provided us with personal data, please contact us and we will take steps to delete it.

10. Data Security

We implement reasonable technical and organisational measures designed to protect your personal data from unauthorised access, alteration, disclosure, or destruction. These measures include encryption in transit (HTTPS/TLS), access controls, and regular review of our security practices. However, no method of transmission over the Internet or method of electronic storage is 100% secure, and we cannot guarantee absolute security.
